Duties and Responsibilities of Office

  1. Supervises all administrative sections and units;
  2. Recommends innovations and policies for effective operations of the administrative services division;
  3. Takes appropriate personnel actions to all employees of the school;
  4. Evaluates performance of personnel under his/her supervision;
  5. Supervises procurement and distribution of supplies and materials and maintenance of equipment;
  6. Certifies disbursements as to authority, legality and in the interest of public service; and
  7. Prepares administrative orders, circular and memoranda for proper guidance of employee.

Finance Services Office

 Duties and Responsibilities of Office

  1. Plan, supervise, coordinate and evaluate the functions of the various units in terms of financial concerns;
  2. Supervise all the activities of the accounting, budget, student's account and cashier office;
  3. Recommend improvement and modification of existing policies and procedures on financial and budgeting matters;
  4. Facilitate the preparation and submission of financial reports as required by COA, DBM, Senate, Congress and other government agencies;
  5. Supervise the collection of income and proceeds from income and proceeds from income generating projects;
  6. Facilitate the compliance of COA Audit Findings and Observation in the Annual Audit Report (AAR);
  7. Review disbursement of funds, subject to COA rules and regulations;
  8. Initiate internal check and preliminary audit; and
  9. Supervise the maintenance of records necessary for effective control of the current operating budget.

Budget Office

  Duties and Responsibilities of Office

  1. Supervise and coordinate activities of the agency budget and fiscal staff; confers with division chiefs of the agency to determine their work activities;
  2. Supervise and participate in the preparation of annual, supplemental, special or deficiency budgets for the agency;
  3. Prepare  supporting justification and explanation for such budget proposals;
  4. Supervise the control for the signature of agency head;
  5. Prepare forms, orders and circulars embodying instructions or budget and appropriation control for the signature of the agency head;
  6. Study and analyze reports on the status of appropriations and trend of expenditures;
  7. Prepare the necessary budget reports and related statement for the management of Budget Commission Officials;
  8. Attend budget hearing of the agency and reviewing officials;
  9. May perform a variety of related financial, accounting, personnel and administrative functions such as approving requisitions for the furniture, equipment supplies and other materials, payrolls and other vouchers, supervision of records, personnel and general service.

Cashier's Office

 Duties and Responsibilities of Office

  1. Issues official receipts, sign checks and ACIC;
  2. Update cashbooks;
  3. Disburses cash advances, encashes cash advances;
  4. Deposits collections, signs reports; and
  5. Receives collections from sub-collectors.

HRMO

 Duties and Responsibilities of Office

  1. Plan and prepare conduct of Faculty and Staff Development Programs;
  2. Database faculty and staff information;
  3. Monitor the status of faculty and staff on official study leave;
  4. Facilitate the Personnel Selection Process;
  5. Implement the SPAMAST Personnel Information System;
  6. Implement the Strategic Personnel Management System;
  7. Prepare and submit personnel request to government agencies;
  8. Submit periodic reports such as ROPA, Plantilla of Personnel and other reports to concerned government agencies;
  9. Prepare and facilitate appointments, retirement applications and maternity leave applications;
  10. Coordinate with the Civil Service Fielad/Regional Office on personnel matters;
  11. Conduct orientation for new recruits/employees and attend faculty/staff meetings;
  12. Assist in the preparation of Personnel Services data for budget preparation;
  13. Certify on leave forms, PhilHealth and other documents;
  14. Disseminate memorandum, circular and other communication on personnel.

Records Office

 Duties and Responsibilities of Office

  1. Assumes full responsibility for the custody and safekeeping of voluminous official records and documents of the college;
  2. Records all incoming and outgoing communications received by the college;
  3. Checks and classifies official communications for release and filing;
  4. Plan and identify the information needs of the college;
  5. Recommend improvements, policies and practices regarding records management including retention policy on the disposal of records and balancing the requirements of records confidentiality, data privacy and public access;
  6. Recommend and develop a record storage plan which includes the short and long-term housing of physical records and digital information of the college.
